How Helix and the Helix Desk app handle information, in plain words.

Who we are

Helix and the Helix Desk app are provided by Sphere Aviation Solutions DWC-LLC (“Sphere”, “we”), Dubai South, United Arab Emirates. Helix is business software. It is used by companies (“customers”) and by the people those companies give an account to (“users”).

Whose data it is

The business records in Helix belong to the customer company that keeps them: its requests, quotations, orders, invoices, its customers’ and suppliers’ business contact details, and the business email Helix files for it. For those records the customer decides what is kept and why, and Sphere handles them only on the customer’s behalf and on its instructions. Questions about a company’s own records are best sent to that company first.

What the app collects

InformationWhy
Your name and work email, from your company’s Microsoft sign-inTo know who you are and what your company has allowed you to see and approve
A push notification address for your phone, its model and the app versionTo deliver the alerts your company has switched on, and to stop when you sign out
What you do in the app: approvals, declines with their reasons, leads you logTo carry out the action and record it under your name, as the full Helix screen does

Face ID is handled entirely by your iPhone. Helix never receives your face data; it only learns whether the phone unlocked.

What we do not do

  • No advertising, and no advertising or analytics trackers in the app.
  • No selling or renting of personal information, to anyone.
  • No use of customer data to build profiles or for any purpose other than running Helix for that customer.

Services that help run Helix

Helix relies on a small number of providers, each bound to handle the data only for running the service:

  • Supabase, for the database and sign-in.
  • Railway, for the application servers.
  • Microsoft, for company sign-in and, where the customer connects it, its mailboxes.
  • Apple and Expo, to deliver notifications to your phone.
  • An AI reading service, used to read and summarise business email and documents. The text sent to it is not used to train its models.
  • Where a customer connects them, its accounting system (such as QuickBooks Online) and a shipment tracking service. Helix never reads or stores bank account numbers, card numbers or banking passwords from an accounting system.

Data is kept in data centres in India, Singapore and the European Union, and is encrypted in transit and at rest.

How long we keep it

Business records are kept for as long as the customer keeps its Helix account, and for as long after as its legal and accounting obligations require. When a user’s account is closed, their phone’s notification address is removed; the record of what they did stays with the company’s books, because it is part of them.

Your choices

You can sign out at any time, which stops alerts to that phone, and turn alerts off in your iPhone’s settings. To see, correct or remove personal information about you, write to your company or to us at the address below and we will help, within what the law allows.

Children

Helix is for work. It is not meant for, or offered to, anyone under 18.

Changes

If this policy changes, the new version will be posted here with its date. A material change will also be told to customers directly.
